How to never forget a birthday again

By Raihan · · 3 min read

Most people who forget birthdays don’t forget because they don’t care. They forget because the reminder goes off on the morning of the birthday itself, when it’s too late for anything except a slightly guilty text.

The fix turned out to be simple. It’s not a better memory. It’s a better reminder.

Why most birthday reminders fail

Most calendar apps remind you on the day. That’s fine if all you’re going to do is send a message. But if you want to post a card, order a present or plan anything at all, the reminder needs to arrive before you need to act, not when the moment has already arrived.

The other problem is that birthdays are scattered. Some are in your phone’s contacts, some on social media, some in your mom’s head, and a few you’ve simply never known. A reminder system can’t remind you of a date it doesn’t have.

The two-reminder rule

This is the whole system, really. For every birthday that matters to you, set two reminders:

  1. One week before: to buy, order or post something. A week covers most postal services and standard delivery, with a day or two to spare.
  2. On the day: to call or send a message.

For people who live abroad, or anyone you send something bigger to, make the first one two weeks. For the handful of people closest to you, a reminder a month out gives you time to think of something good rather than something fast.

Days Left lets you pick any mix of reminders on the day, or 1, 3, 7, 14 or 30 days before, and the time each one goes off. An evening reminder tends to work better than one at 9am on a workday, because you’re more likely to actually do something about it.

Getting all the birthdays in one place

This is the boring part, but you only do it once.

Start with your contacts

Your phone’s contacts have a birthday field, and you’ve probably filled in more of them than you remember. On an iPhone, the Calendar app can show these on a Birthdays calendar. On Android, birthdays saved in Google Contacts show up in Google Calendar.

Then ask

Send one message to the family group chat: “I’m finally getting organized, can everyone send me their birthday?” People are oddly pleased to be asked. Do the same with a few close friends. It takes ten minutes and you’ll fill most of the gaps.

Save the year if you know it

It’s worth asking for the year as well as the date. Then your reminder can tell you it’s a 40th rather than just a birthday, which changes what you do about it. Days Left shows the ordinal on every yearly event, so “Mom’s birthday” shows as her 58th, and next year her 59th, without you doing anything.

Don’t forget the other yearly dates

Once you’ve got a system, it works for everything that comes around once a year:

That last group isn’t sentimental, but the one-week-before reminder saves real money when it stops something auto-renewing at a higher price.

Keep a note of gift ideas

The best present ideas show up at random. Someone mentions in July that their favorite mug broke, and by their birthday in November you’ve forgotten. Add it to the event’s note when it happens. When the one-week reminder arrives, the idea is waiting for you.

Make the next one visible

The last piece is a small one. The Up next widget in Days Left lists your next few events on your Home Screen. With your birthdays in the app, you’ll see “Sam’s birthday, 12 days” in passing a couple of weeks ahead, long before any reminder fires. It’s the closest thing I’ve found to actually remembering.

Here’s how to add it on iPhone or Android.

Quick answers

How far in advance should a birthday reminder go off?

A week before is a good default. It gives you time to post a card or order a present. Add a second reminder on the day itself so you remember to send a message.

Where can I find my friends' birthdays?

Start with your phone's contacts, which have a birthday field, then ask family directly. A short message asking for everyone's birthdays in a family group chat usually fills most of the gaps.

Can a birthday reminder show how old someone is turning?

Yes, if you save the birth year. Days Left shows which birthday it is, for example a 58th, when you set the event to repeat yearly from the original date.
